JAM –Information System Implementation – Requests Module

A new information system for PPAS, called JAM (Jira Asset Management), has been implemented by Unicorn Systems HSI s.r.o.

Starting Point

For a long time, Pražská plynárenská Distribuce, a.s. (PPD) employed a gas service request management information system. However, the system no longer met modern requirements for efficient process management and integration to other business applications. Consequently, an initiative was launched to replace it with a new, more flexible solution in order to consolidate input channels and allow electronic request filing, while reducing the need for manual activities and improving data integration.

Our Solution

The JAM information system is designed to support the processing of ‘gas service requests’ delivered to the customer’s environment via multiple channels (web portal, data box, mail, internal CRM). JAM shall keep records of the requests, facilitate the internal mark-up and approval processes, and generate and distribute necessary documents to source systems or to the file service.

The system builds on the Unicorn COW (Construction Workflow) product line and Atlassian Jira Software Data Center platform, which serves as its central workflow engine and integration platform for the request agenda, while supporting a vision for future development of associated construction processes.

Several unique components have been added to the solution, including HSI Reports to generate documents from available templates, which can be signing electronically, and the DMS Bridge plug-in to establish a secure connection to the internal document storage system. ​

JAM provides:

  • End-to-end workflow for various request types (both external and internal);
  • Request management, classification, and processing;
  • Links between requests and documents, associated with the gas network construction process;
  • Optional mark-up and electronic signing processes;
  • Integration to critical PPAS’s systems:
    • Technical operation system;
    • SAP – CRM module;
    • GIS – graphical and cadastral data;
    • V3S – web portal;
    • File service; and
    • DMS – central document storage.

Historical requests and documents have been migrated from the existing base, as a part of the JAM deployment.

The system architecture runs on the Microsoft Azure environment, providing high availability and scalability, as well as a user-friendly interface.

At present, the JAM system and its Requests module run in the production environment. In the next stage, which has already started, the system will be expanded to support our network construction process.
