How We Helped AEVI Integrate Jira with SAP S/4HANA

We implemented the integration of Jira with SAP S/4HANA – the cloud-based version of SAP. The new solution enables real-time transfer of worklogs from Jira to SAP, ensures data consistency, and allows further expansion in the future.

Technological Context

AEVI was implementing the new cloud-based SAP S/4HANA system. The existing solution for transferring worklogs from Jira to SAP could no longer be used after migrating to SAP S/4HANA due to different technical and integration requirements.
A new, reliable, and scalable integration solution was needed.

The goal of the project was to integrate Atlassian Jira with the newly implemented SAP S/4HANA system, enabling real-time transfer of worklogs from Jira to SAP and replacing the original monthly batch processing. The key benefit of the new solution is immediate validation and processing of worklogs directly in SAP, where AEVI continues to work with them.

AEVI provides businesses – including banks, payment service providers, independent software vendors, and others – with a platform that helps them operate smarter through access to a wide range of payment technologies and commerce solutions.

Preserving User Workflows

AEVI employees were accustomed to reporting time using the Tempo Timesheets plugin. This workflow remained unchanged – users did not have to modify the way they log their work. Instead, the integration was adapted to their existing processes, including editing worklogs directly in Tempo, handling batch entries, and more.

Worklog transfer queue

The transfer of worklogs from Jira to SAP is handled by a robust queue-based mechanism that ensures:

  • creation, modification, and deletion of worklog entries,
  • data consistency between Jira and SAP,
  • automatic notifications in case of missing or incorrect input data.

As a result, all worklogs are transferred in real time, and notifications allow quick issue detection and correction. The solution is also fully prepared for future integration enhancements.

Technical Implementation

The integration was implemented using Groovy scripts within the Adaptavist ScriptRunner platform. This approach ensures compatibility with future versions of Jira and offers significantly shorter time-to-market compared to developing a custom plugin.

The solution is scalable, and the ScriptRunner-based approach allows easy future enhancements.

Project Collaboration

The project was delivered through close cooperation between AEVI, Unicorn Systems, and SAP partner itelligence AG. Despite the differences in technologies and system behavior, the team successfully delivered an advanced and scalable integration solution.

“The Unicorn Systems team quickly understood our needs regarding the integration of Jira and SAP S/4HANA and, thanks to their proactive approach and professional attitude, convinced us they would be a reliable partner for delivering the integration solution. The entire project was complex and required collaboration, coordination, and implementation not only on the Jira side but also on the SAP side. Despite the challenges we had to face during the project, we managed to deploy an advanced solution that automatically transfers worklogs to SAP, including their modifications or deletions. The system notifies us whenever input data is missing, and overall, it saves us several hours each month otherwise spent on manual validation and matching of worklogs.”
